Attach your export files to the email. Any format your tool produces is fine, and a messy file is still a file we can work with. Turnaround depends on how many of these are in the queue, so it's a promise from a person rather than a guaranteed SLA.

What we can and can't bring over

  • Your roster comes over. Names, emails, wages, and roles, from a CSV or an Excel file.
  • So does the schedule you've already posted. The weeks from this one forward land as drafts, so nobody is notified until you publish them yourself. Earlier weeks are skipped on purpose, because a half-imported history reads like a complete one in your reports.
  • Availability has to be re-entered. None of the three tools below export per-person availability rules, so nobody can migrate it. Your crew set theirs from their phone in about a minute during onboarding.
  • Timesheets stay where they are. We move your people and your posted weeks, not your punch history. Pull your timesheet exports for your own records before you close the old account.

People are matched by email address, never by name, so a row without an email is skipped rather than guessed at. A wage or date we can't read confidently is left blank with a warning instead of inferred. The self-serve importers take 2,000 rows of crew and 4,000 rows of shifts per file.

What to export from your current tool.

Worth doing even if you don't come to us. These exports get harder to run once an account lapses, and two of the three hide something people only miss later.

When I Work

The best export story of the three. Under Reports you can pull employees, schedules, timesheets, time off, and shift requests.

  • The schedule export stops at 4,000 rows. Pull it in date ranges if you have more than that.
  • Time off is its own export. It isn't in the schedule file, and it's the one people forget.

WhenToWork

Employee details export from the Employees List page. Shift data comes from any schedule view, or from Reports with a date range.

  • The Availability/Coverage export gives aggregate staffing counts by hour, not each person's availability rules. It looks like the thing you want and isn't.

Homebase

Timesheets export cleanly to CSV. Your team roster exports from the Team page. Both carry less than the timesheet export does, so expect to leave some of it behind.

  • Their bulk-add column names map straight into our importer with nothing to configure.
  • Whatever the export won't give up, send us what you have and we'll rebuild it by hand.

Rather do it yourself?

The switching guide has the click-by-click export steps for each tool and the exact columns our importers read. Both take CSV and Excel, so most exports go straight in. For a file that isn't one row per person or one row per shift, there's a prompt that reshapes it. You run that prompt yourself in Claude. crewmuster never sees your file unless you email it to us.

The export covers one store at a time, on purpose. A manager at one location shouldn't be able to read another location's wages through an export button, so an owner with several stores exports each one.
